Motion Scheduler/Resource Manager
We are seeking a highly organised and proactive Motion Scheduler / Resource Manager to join our growing Motion team. This role sits at the heart of our studio operations—ensuring the right people are on the right projects at the right time. You will work closely with producers, artists, creative leads, and operations to manage schedules, balance resources, and ensure delivery runs smoothly across multiple studios and time zones.
This is a dynamic and people-focused role that requires a sharp eye for detail, a calm head under pressure, and a deep understanding of the creative post-production process, particularly in colour, edit, retouching, VFX and finishing.
This is a full time position based from our Dalston studio, also working across Paris, New York and Amsterdam.
Key Responsibilities:
Scheduling & Workflow Planning:
- Planning and allocation of resources for all projects from briefing to project delivery.
- Manage the daily and long-term scheduling of all Motion projects across multiple locations.
- Allocate internal and freelance artists, editors, producers and finishing talent to projects based on skill, availability, and priority.
- Manage external outsourcing of relevant suppliers and upkeep of supplier data base.
- Maintain real-time visibility of capacity across departments (colour, edit, VFX, retouching, audio, finishing).
- Anticipate and resolve clashes, bottlenecks, and gaps in coverage.
- Create and maintain clear, up-to-date project and team schedules using studio tools and platforms.
Resource & Talent Management:
- Work closely with Production and Creative leadership to forecast demand and flag resourcing needs.
- Support the onboarding, planning, and deployment of freelancers and external vendors as needed.
- Help manage artist holidays, time-off, and studio availability.
- Maintain accurate internal resourcing documentation.
Have an interest and understanding in the industry and talent book.
Communication & Culture:
- Be a central point of contact across teams, communicating clearly and calmly about changes and constraints.
- Build strong relationships with team members across roles and levels.
Help cultivate a scheduling culture that is respectful, realistic, and aligned to creative and commercial goals.
Tools & Systems:
- Help improve scheduling processes and tools (Asana, Google, Slack).
Keep scheduling tools and internal trackers up-to-date and aligned with project timelines and budgets.
Skills & Experience:
- 3+ years experience in resource or scheduling roles within post-production, creative agencies, or VFX/animation studios
- Strong knowledge of the motion post-production pipeline (colour, editorial, VFX, finishing)
- Calm, clear communicator with excellent organisational and time-management skills
- Able to work with complexity, competing priorities, and multiple stakeholders
- Comfortable with scheduling software and collaborative tools (Asana, Box, Google, Slack).
- Empathetic and confident when dealing with creative and technical teams.
- Proactive, solutions-oriented, and great under pressure.
